Website Redesign Project To realize its full potential for reaching and serving an online audience, the NHI website should be able to do the following: • Provide an online public information channel that will support the NHI's core audience of students, parents, alumni and school administrators • Provide a conduit for incoming information from site visitors that will create efficiencies in application processing, alumni outreach and coordination of NHI representatives • Allow NHI staff to easily update and manage information coming in from the website through a web-based content management system • Support the NHI's mission of mobilizing and training Latino youth for future community leadership roles The site may include the following functional areas: NHI News and Services Overview The prospective visitor will find useful, easy to read information about NHI on the website. The combination of engaging, informational copy and friendly pictures and graphic design will inform the visitor (health professionals and general public) and allow him to answer most questions he may have online. News, press releases and other public information resources will be found within this section. Bilingual Presentation (optional) The website will presented in its entirety in both English and Spanish, including content, graphical headers and navigation elements. Content and Document Management System This template-based site will allow NHI to administer the content. Content of the website,including text and photography, will be maintained by a database-driven content management system. This will include, but is not limited to, content on the homepage, news, meeting minutes, agendas, upcoming events, program information, articles, allowing NHI staff to easily present the most current information available to the public through the website. Staff will also be able to add and remove documents (e.g. PDFs or Word documents) to the website, allowing them to easily manage the posting and removal of different forms, reports and other information that is better suited to publication as a downloadable document. Frequently Asked Questions Knowledge Base NHI will have a base of questions and answers stored online for the purpose of providing visitors with accurate answers to their questions. The idea is to save the visitor time and offer them a convenience in having their question answered (this resolves their question without being put on hold or even dialing the phone in the first place). This in turn saves NHI time and money by taking care of easily resolved issues online instead of on the phone. In addition if a question is not already in the system, it can be routed to the appropriate resource, answered and then added to the knowledge base system for future reference. Online Application System Students will be able to apply online through an easy to use application system. The applications will be filed in a secure database that can be imported into most data processing and reporting applications. NHI will have the ability to update application forms online through a form-building tool, allowing them to change applications as the need arises. Secure Extranet NHI staff and associated representatives will be able to login to a secure Extranet. Different levels of access can be set for different users (for example: field representatives may have more restricted access than in-house staff). Features of this password-protected extranet will include: • The ability to post and retrieve documents – providing a central, consistent source for thelatest presentation and application materials, including presentation sheets (in PDF format), contracts, etc. • The ability to build and fill out common forms – these can be filled out by agents and routed to the appropriate contact within NHI. They may include employment applications, information requests, and other forms. • The ability for NHI administration to set specific levels of access for staff, agents and managers • News postings and other current information that can be centrally disseminated to staff and NHI representatives • Bulletin board system that will allow marketing team to share market knowledge and best practices • Web-based e-mail The focus of this extranet will be to keep the marketing team focused, informed and excited about NHI. Form Creation and Processing Create a sophisticated application that allows NHI to easily, build, process, and report on any number of forms (applications, permission forms, survey forms, etc.) The system will give high-level administrators an easy to use form builder that can be set to process through multiple parties. This non-conditional, linear processing allows each person to accept, reject, and make notes through each step of the process. Acceptance by the final person in the process triggers an automatic notification to the original person that submits the form. E-mail Newsletter Sign-Up The proposed e-mail newsletter system will allow NHI to update its core audiences quickly and easily with image and text-based e-mail newsletters. Some information in an e-mail newsletter could include the following: • Upcoming program information • Call for application candidates • Informational bulletins to parents, alumni and other interested parties E-mail newsletters can be easily composed, edited and scheduled by the staff at NHI, allowing them to notify subscribers quickly and efficiently. NHI will be able to manually add e-mail addresses (one at a time or en masse from an existing database) to their subscription list, or they can refer interested members to the website for them to sign up at their leisure. Newsletter subscribers will have the option to cancel their subscription at any time. An additional benefit of the proposed newsletter system is the opportunity to create multiple mailing lists, which will allow NHI to send out different newsletters targeted to specific groups (e.g. students, parents, alumni, the general public). User Database Visitor information obtained through the e-mail newsletter system, survey system or any other part of the website that takes in user data will be stored in a secure, encrypted and passwordprotected user database for future use by NHI. ___________________________________________ Please take a look at our existing website.
