Requirements: staff rota planning & recording
Priors Court is a school and supported living establishment (24 x 7) catering for autism: it has some 400 full time staff and 100 flexible workers and it requires an improved tool for managing its staff rota.
Details
• each rota covers a 10 week period
• based on shifts, full time staff have contracted hours, flexible staff do not
• staff are allocated to work locations at the planning stage
• managers identify where planned hours / locations require additional staff and upstaff the plan accordingly
• last minute changes to the plan due to sickness/unavailability are input
• totals and summaries are produced
The current system has an input excel for the 'rota' 2MB and another for the 'schedule' 28MB, the latter being the main reporting and analysis file.
The requirement is to produce a more robust and automated excel based solution which can be run by the staff and maintained by them (adding new locations/ name maintenance etc). The current system does not deal effectively with overtime, either at the planned or the actual stages, and an overtime management aspect is a wish (not an absolute requirement).
