Let me first explain you a bit how our current system works and then later how we would like to see it work.
We are a small growing family business and we would like to make a couple of things a bit easier for ourselves. Everything works good but since we are growing and working with multiple people some things could work a bit smoother.
At our store people can place cake orders, sign up for workshops and children's parties and buy materials in our physical store and webshop. Our webshop runs on Prestashop and our main website runs on Wordpress, we would like to keep it that way.
If a customer now places an order we (or they do it themselves) fill in the order form on our Wordpress website, this works with Gravity Forms. The form get's e-mailed to us and get's saved into a database which we can easily see in our Wordpress admin. We then give them the price by e-mail and if they agree we print the e-mail and put it into a folder and we re-write the details down in a Google Spreadsheet. This spreadsheet is ordered on date. When the order is picked up we move it to a different tab in the spreadsheet called history. This is exactly where we would like to make things a bit easier because the overview gets a bit lost and the re-writing, copy/pasting etc. takes too much time now.
What we would like is the following:
See it as a mix between a CRM and CMS, let's call it an administrative panel. In this panel we would like to see incoming cake orders (filled in with our Gravity Forms form) where we can change the status to "waiting for answer", "order taken", "order cancelled", "order placed", "placed, not paid" etc. This statuses also all need their own page so that we can easily see which order has what status.
All the placed orders we would like to see in a weekly and monthly calendar overview so that we can easily see how many orders there are on each day/week/month specified in "Cake order", "Cupcake order", "Workshop" or "Childrens Party" etc. If we then click one specific order we would like to see all the details of that order as filled in on the order form and the possibility to edit them. Attaching e-mail conversations and customer history (past orders) to the order details would be the best.
Besides the order part it would be real nice to have our e-mail into the panel like a webmail service.
We would also like to have a financial overview page where we can see what our daily, weekly, monthly, yearly revenue is and split into each category (cake order, workshop etc.).
This all can work from our Wordpress admin (on a section which will be made) or on a separate CMS system ([login to view URL] for example). Whatever you prefer and advice.
This is our main things what we would like to have and how we think it will be easier for us. We are of course open for discussion and suggestions.
