After trading on EBay for a few years now I've become incredibly sick of certain repetitive, time consuming, RSI inducing and extremely boring tasks. Consequently, I'm now seeking "professional services" in the hope of making redundant the need to undertake such tasks. The successful freelancer will agree to implement the following: Create customer database/invoicing system/CRM. Task 1: Streamline my order processing. Firstly I’d mention that Pay Pal is used by the vast majority of customers and that (for each sale) I’ll receive an E-mail containing all the necessary information. Consequently, it does seem like a prerequisite to have this data entered “automatically” into my customer DB (which you’ll of course need to create and design). Thus, amongst other things, I've been giving some thought as to how this could best achieved and have since found the following software: [login to view URL] [login to view URL] Now you may be aware of a better solution but it would appear that program would be capable of doing the job. This information (once parsed) would then be manipulated and used to “print out VAT invoices” and “sticky delivery address labels”. Task 2: Manage the sales and basic CRM. Precisely how everything will be achieved e.g. what the front end will look like, the structure and operational or technical details must (of course) be open to discussion. In point of fact “any discussion between ourselves” will most definitely play a major role in my decision to actually award the contract itself. Firstly, obviously this’ll help demonstrate an understanding of both my intentions and requirements. Secondly, that you actually posses the requisite knowledge/ability to implement whatever your chosen solution may be effectively (and moreover “in general terms” that you‘d be a good choice for the job). That said I’d also advise that the use of any “technical jargon” in our correspondence be kept to an absolute minimum“; this being as my command of such language is nominal at best. I hesitated to mention much of what follows however I do want to be thorough and give as much information as possible. Now it does seem necessary at this point to draw a distinction between “eBay sales” and those made via my website i.e. [login to view URL] The reason being that with the former the goods will be in stock awaiting immediate dispatch (and as such orders need to be processed daily). Conversely however with website sales; there can be a considerable time delay between the payment arriving and the item being dispatched. 5 to 10 working days is normal but some customers can wait considerably longer. I receive a weekly delivery (from my supplier) with all the website sales being processed en masse once per week. Thus, (in affect) these sales are added to the “EBay sales” for that particular day. The system must be capable of “printing out everything altogether“. That is all the invoices in a batch (as opposed to individually) as too the sticky delivery address labels. Naturally I’d also want the ability to make “bulk emails“ (the reasons for which being obvious). For instance being able to send e-mails confirming dispatch. Some of my customers will be located outside the EU and consequently exempt from VAT. As a result a way must also be found for “dealing” with these sales. For some of my sales the payment method will be cheque or bank transfer. Consequently, I’ll also need a way of dealing with such sales. That said I don’t expect that these be done “automatically” as with the Pay Pal sales. Rather (as there won’t be too many) it’d suffice if I could just create a record of the sale “manually” and then copy and paste the information directly into the DB. As the DB obviously contains a complete record of all my sales (at some point in the future) I’ll be wanting to export into some kind of accounting software package. I only wish to communicate this now as it when may impact upon some aspect of the project but this is somewhat unlikely. Please tell me the cost of any software licenses that I might need to buy e.g. whatever database you intend to use and or which (if any) of the two “parsing software programs” that you‘d recommend me using. As to the subject of payment I will place 100% of the funds under escrow and release the money only when the project has been successfully completed. By this I mean that the software is working correctly on my computer and (perhaps more importantly) that I know precisely how it should be used.
