Why use Dropbox when you could have your own file server on ur own premises both secure and easy to access.

I've worked on many archival and data management schemes in companies from arranging files into a better file system to organizing file archiving to prevent loss of data. Judging by what you have described, you need a good solid main filing system with sub-catagories so people can find their way into the files. Furthermore I would create a backup of the data each day/week in a separate section of your drop box so that any erroneously deleted files could be found again with ease. I'm able to receive IM/email at any point in the day to respond to any queries or problems and can deal with those as soon as you have them. I am able to coordinate my time accordingly so that our time schedules are of the same time zone.

This is very simple. I already did a similar project for one of my client, who had more than 20 users sharing dropbox as their storage. I have great experience in setting up file services. Give me a shot.
